Every feature, honestly listed
What is in the platform today, grouped the way a venue works. Nothing on this page is a roadmap item; if it is listed, it is live.
The front door
- Inquiry form with an instant estimateYour questions, on your website. Date and guest count answer with a range from your rules: seasons, day tiers, event types, minimums, add-ons, and any promotion you are running.
- Event types with their own rulesWeddings, elopements, private events, showers, corporate and more, each with its own pricing and the dates you do not sell it on.
- Public tour bookingCouples pick from the hours your team actually works. Never on event days, never on top of another tour.
- Consent captured properlyTexting and email consent as separate, unchecked boxes that name your legal entity, with the evidence kept for carrier registration.
- Pre-tour questionnaireGoes out the moment a tour is booked; the answers are on the tour before the couple arrives.
- Reminders before the tourYour ladder: an email a day before, a text an hour before, or whatever you set. Cancelled or moved tours never fire.
Leads and the pipeline
- Your columns, your rulesRename, recolour, reorder, add. Each column can move a couple on its own: a booked tour, a paid deposit, a filed survey, a finished event.
- Lead detail as a pageOverview, details, proposal and documents, payments, people and access. Refresh and shared links land on the lead.
- Tags and temperatureProject tags on the board and as a filter; one temperature model everywhere.
- Per-staff availabilityEach person's hours and time off in one calendar. A tour lands with whoever owns the slot; hand it off in one click.
- Post-tour survey routed to the right personThe staffer who ran the tour is nudged to file it; showed, no-show and cancelled are recorded as first-class outcomes.
- Inbox with unread stateCouple messages from the portal reach the team by email and show as unread until someone opens them.
- ImportBring a CSV of couples, dates and totals; re-running never duplicates.
Contracts, money and books
- Proposals and e-signingEach partner signs from their own email; a sealed, tamper-evident audit trail on every envelope. Paper signing recorded too.
- Payment schedulesYour milestone split, created at signing, with reminders and overdue flags.
- One invoice per coupleEvery schedule and milestone, the running balance, and in-person cash or check recorded by staff.
- Promotions and discountsTime-boxed offers with a cap, applied on the estimate and on proposals; per-couple discounts carry a reason onto reporting.
- Damage deposits and cancellation tiersItemised close-outs and the refund rules you set.
- Oikos Books includedReal double-entry books under the venue, not an export to somebody else's subscription.
- ReportsTour to booked, tour outcomes, booked in the period, how far out couples book, twelve-month projections, discounts given.
Running the event
- The event orderBuilt from the booking: the questionnaire you nominate with its labels, the payment schedule, vendors and their insurance state, the floor plan, your notes.
- Final walkthrough blockFinal count lock, ceremony specs, indoor option, timeline, TVs, parking, day-of rep, rain plan, access codes, and the chase list of what the couple still owes you.
- Staff checklistsEvent prep, event day and close-out in your words, per event type, copied to every booking, with notes and a printable hard copy.
- Pre-event gatesUnsigned documents, past-due balances and missing vendor insurance block a final event order until the owner overrides with a reason.
- Event-day logIncidents, condition photos, lost and found, an exit walk, and a printable run sheet.
- VendorsA directory with certificates of insurance and expiry, per-couple vendor teams, and a one-click photo request to the photographer and videographer after the day.
Floor plans
- To scaleReal feet, snap to inches, zoom, undo. Rooms with walls, doors, restrooms, stations and zones.
- SeatingRounds, rectangles, farm tables, sweethearts, hi-tops, low-tops and chair rows, with chairs per side and a caterer summary per table.
- TemplatesSave the layouts you reuse; start a couple's plan from one in a click.
- The couple rearrangesMove-only editing in their portal until you lock it. Print, PNG and a present mode for the walkthrough.
The couple portal
- Everything about their wedding, nothing elseTheir date, balance, documents to sign, seating, vendor team, add-ons and rentals, messages.
- What we need from youOne checklist with real dates counted back from the event, ticking itself as things arrive, and a per-couple exception when a line does not apply.
- Questionnaire they can mark finalAnswered once, editable until they lock it; only the venue unlocks.
- No passwords to inventCouples and outside coordinators arrive by secure email link.
Your team and your settings
- Owner, staff, couple, coordinatorFour seats with the finances visible to the owner only, enforced by the database, not by trust.
- Everything editable in SettingsPricing, promotions, pipeline columns, questionnaire and form fields, tour reminders, email wording, staff and couple checklists, what the AI may say.
- Email templatesEvery automatic email in your words, with merge fields.
- Compliance vaultCertificates, permits and licences with expiry dates, tied to vendors where they belong.
Oikos AI & Marketing add-on
- The conciergeAnswers couples from your real calendar and your pricing rules. It never states a price or an open date on its own, never offers an event type on a date you exclude, quotes only the facts you wrote, and hands off to a person for the rest.
- Test it firstA sandbox where you play the couple, including "asking as a private event", before it ever speaks to a lead.
- Promotions it knows aboutMentions a running offer once, in your words, and stops the moment it ends.
- Marketing built on your bookingsGoal-driven campaigns, reviews that book weddings, social accounts, and a managed tier where we run it and you approve from your phone.
What is not here yet
Card payments in the couple portal are on the way; today couples pay by check or cash and staff record it against the invoice. Texting goes live venue by venue as each carrier registration clears. Irregular room footprints for floor plans are being designed with our first venue. If you need one of these, say so on the walkthrough and we will tell you where it stands.
